## 5. Marketing communications

We only send marketing emails to people who have asked for them (for example by requesting the playbook or requesting early access). Every marketing email we send includes a way to opt out, and you can also opt out at any time by emailing <matt@heedly.co>. Opting out does not affect the lawfulness of processing carried out before you withdrew consent. We do not sell or rent your personal data to anyone.

## 6. Who we share your data with

We share personal data only where necessary and with appropriate safeguards, with:

- **Service providers (processors)** who host our website and email, deliver our newsletters and provide business tools. They act on our documented instructions under contracts that meet the requirements of Article 28 UK/EU GDPR.
- **Analytics and advertising partners** — Google (Google Analytics), Meta Platforms Ireland (Meta Pixel) and TikTok Technology Ltd (TikTok Pixel), where you have consented to their cookies. For the building of retargeting audiences we and Meta act as joint controllers for the collection and transmission of the data; each partner otherwise processes data under its own privacy policy, linked from our [Cookie Policy](https://heedly.co/cookie-policy).
- **Professional advisers** such as accountants, insurers and lawyers, where necessary.
- **Authorities and regulators** where we are legally required to disclose data.
- **A buyer or successor** in the event that we sell or restructure our business, in which case this policy will continue to apply to your data.
 
## 7. Google user data

Some features of the Heedly platform work by connecting to a veterinary practice's Google account. A practice chooses whether to grant this access when setting up the relevant feature in its Heedly dashboard, and each connection asks only for the permissions that feature needs.

### What we access and why

When a practice connects its Google account, Heedly may access the following, depending on the features the practice enables:

- **Google Business Profile** — the practice's business listing and its Google reviews, used to display those reviews on the practice's website and keep listing details current.
- **Google Analytics** — the practice's analytics property, which Heedly may create on the practice's behalf and read from, used to show website traffic inside the practice's Heedly dashboard.
- **Google Search Console** — the practice's search data, used to verify the practice's domain and show its search performance in the dashboard.
- **Google Ads** — campaign data for advertising run for the practice, used to report on those campaigns in the dashboard.
 
### How we use it

Google user data is used only to provide these features to the practice that granted access, inside that practice's own Heedly dashboard and website. We do not use Google user data to build advertising profiles, we do not sell it, and we do not use it for purposes unrelated to the features described above. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

### Who can see it

Google user data is visible to the practice that connected the account and to authorised members of the Heedly team who support that practice. We do not share it with third parties, except with service providers that host our infrastructure and process data on our instructions, or where the law requires it. Humans at Heedly do not read this data except with the practice's permission, where necessary for security or to resolve a support issue, or to comply with applicable law.

### Storage and retention

Google user data is stored on our secured servers and kept only for as long as it is needed to provide the connected feature. When a practice disconnects a Google integration or closes its account, we delete the associated Google data from our systems within 30 days, except where we must retain it to meet a legal obligation.

### Revoking access

A practice can disconnect a Google integration at any time from its Heedly dashboard settings. Access can also be revoked directly from a Google account at [myaccount.google.com/permissions](https://myaccount.google.com/permissions). To request deletion of Google data we hold, contact us at <hello@heedly.co>.

## 8. International transfers

Some of our service providers may store or process personal data outside the United Kingdom or the European Economic Area. Where that happens, we make sure an adequate level of protection applies — either because the destination country benefits from an adequacy decision of the UK Government or the European Commission, or because we have put in place appropriate safeguards such as the UK International Data Transfer Agreement or the European Commission's Standard Contractual Clauses, together with any necessary supplementary measures. You can request a copy of the relevant safeguards by contacting us.

## 9. How long we keep your data

- **Enquiries and correspondence** — up to 24 months after our last contact with you, unless the correspondence relates to a contract, in which case we keep it for up to 6 years after the contract ends (limitation periods for legal claims).
- **Marketing lists** — until you opt out or your consent otherwise lapses, after which we keep a minimal suppression record so we do not contact you again.
- **Server logs** — up to 12 months, for security and diagnostics.
 
When data is no longer needed we delete it or irreversibly anonymise it.

## 10. Your rights

Under the UK GDPR and EU GDPR you have the right to:

- **Access** — obtain a copy of the personal data we hold about you (Article 15).
- **Rectification** — have inaccurate data corrected and incomplete data completed (Article 16).
- **Erasure** — have your data deleted in the circumstances set out in Article 17 (the "right to be forgotten").
- **Restriction** — restrict how we process your data in the circumstances set out in Article 18.
- **Data portability** — receive the data you provided to us in a structured, commonly used, machine-readable format and have it transmitted to another controller (Article 20).
- **Object** — object to processing based on legitimate interests, and to direct marketing at any time (Article 21). If you object to direct marketing we will stop.
- **Withdraw consent** — where processing is based on consent, withdraw it at any time without affecting prior processing (Article 7(3)).
- **Not to be subject to automated decision-making** — we do not carry out automated decision-making, including profiling, that produces legal or similarly significant effects (Article 22).
 
To exercise any of these rights, email <matt@heedly.co>. We will respond within one month (extendable by two further months for complex requests, in which case we will tell you). Exercising your rights is free of charge unless a request is manifestly unfounded or excessive.

You also have the right to lodge a complaint with a supervisory authority. In the UK this is the Information Commissioner's Office (ICO, [ico.org.uk](https://ico.org.uk)). If you are in the European Union, you can complain to the data protection authority of the EU member state where you live, work, or where the alleged infringement occurred. We would, however, appreciate the chance to address your concerns first.

## 11. Security

We apply appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure or destruction, including encrypted connections (HTTPS), access controls, and limiting access to personal data to those who need it. No transmission over the internet is completely secure, but we work to protect your data in line with Article 32 UK/EU GDPR. If a personal data breach occurs that is likely to result in a risk to your rights and freedoms, we will notify the relevant supervisory authority and, where required, the affected individuals without undue delay.

## 12. Children

This website is aimed at veterinary professionals and is not directed at children. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, please contact us and we will delete it.

## 13. Third-party links

This website contains links to third-party websites (for example our social media profiles). Clicking those links may allow third parties to collect or share data about you. We do not control those websites and are not responsible for their privacy practices — please read their privacy policies.

## 9. The Heedly platform

Some clients use the Heedly platform, an admin dashboard from which a veterinary practice builds and manages its own website, including pages, blog posts, appointments, visitor chat, team profiles, services and branding. Access to the platform is provided under the practice's service agreement with us; where that agreement and these terms differ, the service agreement prevails.

Platform accounts are personal to the practice and its authorised team members. You are responsible for keeping login credentials confidential and for all activity under your account. We may suspend an account to protect the platform, other clients or their data, to investigate suspected misuse, or where required by law. We will tell you why as soon as reasonably possible unless the law prevents it.

### Connected third-party services

The platform can connect to third-party services on a practice's instruction, including Google Business Profile, Google Analytics, Google Search Console and Google Ads. Each connection is optional, is authorised by the practice through the third party's own consent process, and remains subject to that third party's terms of service. A practice can disconnect an integration at any time from its dashboard settings or from its Google account. How we handle data received from Google is described in the Google user data section of our [Privacy Policy](https://heedly.co/privacy-policy).

We do not control third-party services and are not responsible if a third party changes, restricts or withdraws a service or an API on which an integration depends. Where that happens we will make reasonable efforts to adapt or offer an alternative.

### Ending platform access

A practice may stop using the platform at any time in accordance with its service agreement. When platform access ends we deal with the practice's content and any connected Google data as described in our [Privacy Policy](https://heedly.co/privacy-policy), including deletion of Google user data within the period stated there.

## 10. Links to and from other websites

Where this website contains links to other sites and resources provided by third parties (including our social media profiles), those links are provided for your information only. We have no control over the contents of those sites and accept no responsibility for them or for any loss or damage that may arise from your use of them. You may link to our home page provided you do so in a way that is fair and legal, does not damage or take advantage of our reputation, and does not suggest any form of association, approval or endorsement where none exists. Here’s how to create a website that works for your vet practice:

### 1. Make a Strong First Impression

Never a judge a book by its cover is what my Mum always taught me. Well, my Mum was wrong (and not a web developer). First impressions matter!

It’s likely that your homepage will be the page getting the most traffic but all pages on your site are important. It should be visually appealing, easy to navigate, and instantly communicate who you are, what you offer and where you are.

- Have a **clear headline** that explains what sets your practice apart from other vet practices locally, such as "Caring for Pets Like Family – Open 7 Days a Week!"
- Keep the design clean, with **consistent branding and colours** that reflect your clinic’s personality.
- Where possible use a **high-quality, web optimised images** of your team, clinic, or a happy pet to establish trust. Stock or AI generated imagery won’t feel as authentic to the customer.
